Job Description

The Northern California Chapter is one of the top 3 largest revenue producing chapters of JDRF International.Ā  The person in this role will be an integral part of the staff team, coordinating a variety of meetings throughout the year to support the Chapter Board engagement and high-level donor cultivation.

Reporting to the Director, Development Operations, this position provides executive coordination for the Executive Director, the Associate Executive Director, and the Donor Relations Officer.Ā  The primary areas of focus for the position are coordination for Board of Directors activities including but not limited to planning logistics for the quarterly meetings, the Annual Meeting, annual board survey, and a new board member orientation. As well, the person in this role executes logistics for donor cultivation receptions, donor meetings throughout the year, and Community Engagement/Outreach events.Ā  Activities include venue identification, contract review, invitations and invitation lists, Zoom preparation, catering, and other duties as assigned. The person in this position will be a superuser of the Salesforce CRM and DOMO, ensuring that Chapter data, especially for our highest level supporters, is accurate and leveraged as a tool by the team for relationship management.Ā In addition to supporting Chapter leadership, this person will support the whole team with operational needs such as mail and donation processing, acknowledgment letters, and monitoring chapter email and voicemail. This person will be a high-energy, results-oriented, self-starting leader, capable of quickly taking control and assisting with needs across the chapter.

The position is remote and supports Northern California. The expectation is that staff will be available for in-person meetings and other in-person gatherings as required and when safe to do so.Ā Occasional evening and weekend work required.

Responsibilities Include:

Board of Directors

oĀ Ā  Support the Chapter Executive Director with logistics, meeting materials and Board of Director communications including quarterly meetings, Annual Meeting, board retreat and new board member orientation

oĀ Ā  Coordinate and attend Board Meetings outside of standard office hours

oĀ Ā  Maintain an accurate record of Board Member giving and solicited donations

oĀ Ā  Serve as a point of contact in the Chapter for JDRF information for Board Members

oĀ Ā  Issue and compile results on annual board survey

Donor Meetings & Cultivation Events

oĀ Ā  Organize logistics related to donor cultivation events held throughout the year, including invitation lists and invitations, venues, RSVP tracking, catering, nametags, etc.

oĀ Ā  Interface with high level scientists/chief executives on logistics related to their appearances at donor cultivation events

Community Engagement/Outreach

oĀ Ā  Organize logistics related to Community Engagement/Outreach events held throughout the year, including invitation lists and invitations, venues, RSVP tracking, catering, nametags, data entry, etc.

oĀ Ā  Interface with vendors on logistics

Donor and Corporate Research

oĀ Ā  Build strong research profiles on donors ā€“ both short thumbnails and extensive research, depending on the need

oĀ Ā  Support the Executive Director, Associate Executive Director, and Donor Relations Officer with projects related to major giving prospects and other special projects as assigned

oĀ Ā  Maintain an updated list used for corporate development efforts

oĀ Ā  Become a key source of donor information for Chapter staff and the executive team

CRM

oĀ Ā  Maintain excellent account records on board and leadership giving donors including development activity and gift opportunity tracking.Ā  Record key account activity on behalf of the Executive Director and executive team, as needed

oĀ Ā  Prepare donor data analysis for quarterly dashboard, and as needed throughout the year

oĀ Ā  Pull reports or work with National team to build reports, as requested

oĀ Ā  As Chapter Salesforce CRM Superuser, help teach the intricacies of the CRM and coach other team members on best practices for improved CRM use in the chapter

oĀ Ā  Other duties, as assigned.

Operations Support

oĀ Ā  Attend weekly virtual mail processing meetings, provide coding

oĀ Ā  Respond to donation emails from National, provide coding

oĀ Ā  Update Revenue Log and Stewardship Report weekly and send to the team

oĀ Ā  Send donor acknowledgment letters weekly

oĀ Ā  Monitor chapter email and voicemail

Qualifications

ā€¢Ā Ā  Ā College degree required
ā€¢Ā Ā  Ā 2+ years of office/administrative experience required
ā€¢Ā Ā  Ā Exceptional customer service skills are a must
ā€¢Ā Ā  Ā Experience with planning cultivation receptions and dinners for high-level donors is a plus ā€¢Ā Ā  Ā Experience preparing presentations, reports, and business correspondence
ā€¢Ā Ā  Ā Excellent organizational skills as well as excellent written and oral communication skills required
ā€¢Ā Ā  Ā Proficiency with Microsoft Word, Excel, Outlook and PowerPoint, Zoom, and Salesforce CRM are required
